Workspaces & Teams

Understand how workspaces and teams organize your work in Dial8 — roles, permissions, and team workflows.

Workspaces and teams are the organizational foundation of Dial8. Everything you create — actions, projects, captures, contacts — belongs to a workspace, and teams provide scoping within it.

Workspaces

A workspace is a shared environment for your organization. Each workspace has:

  • Members with role-based access (Owner, Admin, Member, Guest)
  • Teams that organize work into logical groups
  • Settings for labels, workflow states, integrations, and preferences
  • A plan (Free, Pro, or Enterprise) that determines available features

Workspace Settings

Access workspace settings from the sidebar gear icon:

  • General — Name, logo, and workspace-level preferences
  • Members — Invite, remove, and manage member roles
  • Teams — Create and configure teams
  • Labels — Define workspace-wide labels for actions, projects, and initiatives
  • Integrations — Connect email and calendar accounts
  • Notifications — Configure notification preferences
  • Recipes — Manage AI processing templates for captures

Switching Workspaces

If you belong to multiple workspaces, use the workspace switcher in the sidebar to move between them. Each workspace has its own data, members, and settings.

Teams

Teams are groups within a workspace that scope work. Each team has:

  • An issue prefix — A short code (like ENG, SALES, DESIGN) used in action identifiers
  • Members — Workspace members assigned to the team, with a lead or member role
  • Workflow states — Custom statuses that define how work moves through your process
  • An action counter — Automatically increments to generate identifiers like ENG-42

Creating a Team

  1. Go to Settings → Teams
  2. Click Create Team
  3. Set a name and issue prefix
  4. Add team members and assign a team lead
  5. Customize workflow states if needed

Workflow States

Each team has its own set of workflow states organized into categories:

Teams come with sensible defaults, but you can add, rename, reorder, or remove states to match your workflow.

Team Roles

Invitations

Invite people to your workspace from Settings → Workspace → Members. Invitations are sent via email with a unique token link. Pending invitations can be resent or revoked.

When someone accepts an invite, they become a workspace member and can be added to any team.
